How we handle personal information collected through this website and through the systems we build and host. Last updated: August 2026.
1. Who we are
This website is operated by Pearl Tech Software Solutions, registered as PTS (U) LTD, of Kireka, Kampala, Uganda. For any question about this policy, write to info@pearl-host.com.
2. What we collect
We only collect what we need in order to reply to you or to deliver a service you have asked for.
- Contact and quotation forms: your name, email address, phone number, organisation and the message you write.
- Job and internship applications: your name, contact details, address, institution or position of interest, and the CV or placement letter you upload.
- Newsletter: your email address only.
- Technical data: server logs recording IP address, browser type and pages requested, kept for security and troubleshooting.
We do not collect payment card details on this website.
3. Why we use it
To reply to enquiries, prepare quotations, process job and internship applications, send the newsletter you asked for, deliver and support services you have engaged us for, and keep our systems secure. We do not use your information for automated decision-making or profiling.
4. Legal basis
We process personal data on the basis of your consent (when you submit a form or subscribe), the performance of a contract (when you engage us for work), and our legitimate interest in operating and securing our systems.
5. Who we share it with
We do not sell, rent or trade personal information. We share it only with:
- Our hosting and email providers, strictly to deliver the service.
- Authorities, where we are legally required to do so.
Any staff member with access is bound by confidentiality obligations.
6. Client data in systems we build or host
Where we develop, host or maintain a system for a client, that client is the controller of the data inside it and we act as their processor. We access such data only to deliver support, maintenance or migration work that the client has requested, and we are willing to sign a confidentiality or data-processing agreement covering it.
7. How long we keep it
Enquiries and quotations are kept for up to three years so we can pick up a conversation where it left off. Job and internship applications are kept for twelve months unless you ask us to remove them sooner. Newsletter subscriptions are kept until you unsubscribe. Project records are kept for the period required by our contractual and accounting obligations.
8. Security
Data is transmitted over encrypted connections, passwords are hashed, database access uses prepared statements, and access to systems is limited to the staff who need it. No system is perfectly secure, but we take these measures seriously and review them regularly.
9. Cookies
This website uses a single session cookie, which exists only to protect forms against cross-site request forgery. We do not use advertising or cross-site tracking cookies. If analytics are enabled in future, this section will be updated before they are switched on.
10. Your rights
You may ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or withdraw consent to marketing at any time. Email info@pearl-host.com and we will respond within 30 days.
11. Children
This website is not directed at children under 13 and we do not knowingly collect their information.
12. Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it was last revised.
